Custom software development in Nashville

Incitari Technologies LLC is a software development firm based in Nashville, Tennessee. We build web and mobile applications, applied AI and automation for businesses here and across the United States — and when it helps, we can meet in person.

Why local matters

Close enough to sit down with.

In-person discovery

The first conversation is the one most worth having face to face. Watching how a process actually runs tends to surface more than any requirements document.

Same time zone

Central time, normal working hours, replies during your day rather than overnight from somewhere twelve hours ahead.

A US entity

A Tennessee LLC with a US business address, phone number and bank — which matters when your procurement team asks for a W-9.

Direct access

You talk to the people writing the code, not to an account manager relaying messages to a team you never meet.

What we do

Services available locally.

Custom Software

Your team works around the software instead of the software working for them.

When off-the-shelf software forces your team to work around it — duplicate entry, exported spreadsheets, a process that only one person understands — the tool has stopped paying for itself. We build systems that fit the way your business actually runs.

Web Applications

The system everyone depends on is a spreadsheet, and only one person understands it.

Browser-based systems that hold up under real use: the portal your customers log into, the dashboard your operations team lives in, the platform your product is sold through. Built to stay maintainable after we hand it over.

Mobile Apps

The work happens away from a desk, and right now it happens on paper.

Cross-platform where it saves you money, native where it does not. We take mobile products through the parts teams underestimate — store review, device testing, release management — as well as the build itself.

AI & Automation

Somebody spends hours each week on work a machine should be doing.

Applied to a specific, measurable task — not a demonstration that impresses in a meeting and never reaches production. We are equally willing to tell you when a problem does not need AI at all.

System Integration

The same information gets typed into two systems, and they still disagree.

Most businesses do not need another tool. They need the tools they already have to exchange information without a person in the middle re-typing it.

MVP & SaaS

You have an idea, and no way to find out whether anyone wants it.

The hardest part of a first version is deciding what not to build. We scope deliberately narrow, ship something real, and let what users actually do decide the second release.

Working with a local firm

What being here actually changes.

Plenty of firms will tell you location no longer matters. For some work that is true. These are the cases where, in our experience, it still does.

Discovery goes faster when you can watch the work

Most operational software replaces a process nobody has ever written down. The people who run it describe what is supposed to happen; what actually happens includes the exceptions they handle from memory and the spreadsheet somebody keeps on the side. An afternoon watching the process in the room usually surfaces more than a fortnight of emailed questions, and it is the cheapest possible time to find out that the requirement everyone agreed on was wrong.

Contracting with a Tennessee entity is simpler

Incitari Technologies LLC is registered in Tennessee, with a US business address, a US phone number and a US bank account. For your finance team that means a W-9 rather than a W-8BEN, payment in dollars without an international wire, and no questions about withholding. Contracts are governed by Tennessee law with disputes in Davidson County, so there is no foreign jurisdiction clause for your counsel to work around.

Central time is the whole working day

An offshore team twelve hours ahead gives you one narrow overlap each morning, and every unanswered question costs a day. Working in Central time means a question asked at 2pm gets an answer at 2pm. It matters most during the phases where decisions come quickly — discovery, and the week either side of a launch.

Who we tend to work with here

Nashville's economy is not mainly a software economy, which shapes the work. Healthcare administration, music and entertainment rights, logistics, construction, hospitality and professional services all run on processes that outgrew their tools — and most of that software is internal rather than a product. It is usually a system a handful of people depend on daily, not something with a marketing site.

That work rarely needs a platform. It needs one process replaced properly, by someone who understood the process first. If you are weighing that against buying something off the shelf, the comparison is worth reading before you call anyone — including us.

Healthcare and healthcare administration

Nashville is the centre of the American healthcare services industry, and most of the software that industry runs on is administrative rather than clinical: eligibility checking, prior authorisation tracking, referral management, credentialing, claims reconciliation, the spreadsheet that reconciles what the clearing house says against what the practice management system says.

That work carries real constraints. Anything touching protected health information needs a Business Associate Agreement, access controls that can be evidenced, and an audit trail that survives a question asked eighteen months later. We will tell you plainly where a requirement puts a project outside what we should take on — a firm that has never said no to a compliance question has not read one properly.

Logistics, freight and field operations

Middle Tennessee sits on the I-40 and I-65 corridors, and a great deal of the work here involves something moving: dispatch boards, driver paperwork, proof of delivery, yard management, the daily reconciliation between what was scheduled and what actually happened. Field teams are usually the ones still on paper, which is where a mobile application earns its place rather than being a nice-to-have.

Music, entertainment and rights administration

Royalty splits, licensing windows, publishing catalogues and session paperwork are a genuinely hard data problem dressed up as administration. The percentages rarely add to a hundred cleanly, the rules differ per contract, and the spreadsheet that holds it together is usually understood by exactly one person. It is close to the archetypal case for software built around an actual process rather than a product bought to fit one.

Construction, trades and professional services

Job costing, scheduling, compliance documentation, subcontractor paperwork and the perpetual question of which version of the estimate is current. These businesses typically run three or four tools that do not speak to each other, and the real cost is somebody re-typing between them — which is usually an integration problem rather than a new system.

Common questions

Before you get in touch.

Do you only work with businesses in Nashville?

No. We work with clients across the United States and most projects run remotely. Being in Nashville means that if you are nearby, meeting in person is straightforward — which is most useful during discovery and around a launch. It is an option, not a requirement.

Can we meet in person before committing to anything?

Yes, and we would encourage it for anything beyond a small piece of work. An initial conversation costs you nothing and is usually more productive face to face. We can come to you anywhere in Middle Tennessee.

How much does a project cost?

It depends entirely on scope, and any firm that quotes before understanding the problem is guessing. What we can commit to is a fixed price against a defined scope before work starts, so the number you approve is the number you pay. Our article on what custom software costs sets out the ranges and what moves a project between them.

You were formed in 2026 — are you established enough for our project?

The company is new and we say so plainly rather than implying otherwise. What that means in practice: you deal directly with the people writing the code, the scope is fixed before work begins so the risk of misjudging it sits with us, and you own the source code and infrastructure throughout. If you need a vendor with SOC 2 certification or a decade of audited history, we are not yet that firm, and we would tell you so at the first meeting rather than the fifth.

What happens to our software if we stop working with you?

You keep everything. Code lives in your repository, infrastructure runs in your accounts, and documentation is written for whoever comes next rather than to make us hard to replace. Handover is part of the engagement, not a separate negotiation.

Do you work with businesses that have no technical staff?

Often, and it changes how we work rather than whether we can. It means more time spent understanding the process before proposing anything, plainer language in writing, and documentation aimed at the person who will actually use the system. It does not mean we make the decisions for you.
